Facility Rental

To reserve a City Owned Indoor or Outdoor Facility you must complete the City-Owned Facility Rental Application.

Forms must be submitted in-person to the San Fernando Recreation Park Front Office:

Please Note: Use of parks or public spaces are subject to availability and scheduling, may be restricted during peak periods or holidays, and many not allow exclusive use in all cases.

1. Complete Contact and Event Information

Please provide the requested date of event, organization/party hosting the event. 

Applicants must disclose if there will be political campaigning or an event charge of any kind. 

When selecting an event date and time, please include set-up and clean-up time. Set-up/Clean-up time must be accounted for in the set time of the contract. A penalty charge will be assessed if departure is later than the set time.

Note: Applications and preferred dates are received on a first come first serve basis. Applications serve as a requests, submitting an application does not confirm approval. All requests must be administratively approved.

Rentals of facility spaces i.e baseball fields, picnic tables, parking lots, gardens may require a Special Event Permit. Please reach out to the Recreation and Community Service Department to confirm availability and feasibility. 

3. Select Rental Equipment and Personal Equipment

The City offers chairs and tables for events at a cost for certain indoor facility spaces.

If you are requesting to use rental equipment, please attached the diagram with the desired set up to your application. If you would like to add or change rental chairs and tables for your event after submitting the facility rental application, it must be done 15 business days before your event.

If your event will require specialized equipment like a inflatable bouncer, applicants are required to use an approved inflatable bouncer company that provides a valid certificate of insurance naming the City of San Fernando as an additional insured.

Decorations must not cause any damage to rented facilities. No materials can be attached to ceilings, doors, walls or curtains. 

The following are banned for ALL facility rental spaces

  1. Fog machines
  2. Propane or charcoal grills
  3. Cooking equipment
  4. Drugs and tobacco products
  5. Alcohol 
  6. Gambling
  7. Uninsured Inflatable bouncer equipment

4. Review Rules for Facility Use

The following conditions are required to follow before and during the use of city own facility rentals.

  1. This is only an application. No application will be received in advance of six months prior to the date requested. Permits are on a first come first serve basis.
  2. The use and/or advertising of drugs, alcohol or tobacco products are NOT ALLOWED AT ANY TIME on or in City facilities. NO SMOKING is allowed on or in City facilities. Betting and/or other forms of gambling is NOT ALLOWED.
  3. Responsible adults (21 years or older) must be present AT ALL TIMES when a group of minors are using the facilities.
  4. Persons in attendance shall limit their activities to the facilities, or portions thereof, authorized by their application. Failure to comply may result in the termination of the event.
  5. No storage is provided. Items/articles CAN NOT BE LEFT PRIOR to the event nor AFTER the event (ex. food, decorations, etc.). The City of San Fernando is not responsible for any personal items/articles lost, stolen, or misplaced.
  6. Cooking is not allowed inside or outside the facility. Use of any propane or charcoal burning grills, including taqueros, is not allowed. All food must be prepared off site. Use of chaffing dishes is allowed to keep food items warm.
  7. Fog Machines are NOT ALLOWED. No materials will be attached to ceilings, doors, walls or curtains. All balloons and decorations must be taken down during clean-up of event. Failure to comply will result in forfeiture of deposit.
  8. Staff has the authority to stop the event if rules are not followed as agreed in contract.
  9. Prior to the approval of the application, all promotional materials intended to be used must be approved by the Department. Exceptions to any of the terms and conditions of this policy must have the approval of the Director of Recreation and Community Services.
  10. Upon conclusion of the event, the agent and/or the organization must leave the facilities in the same condition as found. CLEANING OF THE FACILITIES IS REQUIRED AND MUST BE INCLUDED IN THE SET CONTRACT TIME. This includes sweeping and mopping of the facilities. Such condition to be determined by an authorized representative. Failure to comply will result in forfeiture of deposit and may result in a penalty fee if time exceeds contract time.

5. Turn In Application and Complete Fees

With the application you must pay a $10 application fee, $165 refundable security deposit, and 20% of total payment due at time of payment. Any fees charged MUST BE PAID IN FULL 2 WEEKS (10 business days) PRIOR to the requested date of use. Unpaid events forfeit approval, and are no longer reserved. 

All payments must be made in person at Recreation Park,  208 Park Ave., San Fernando, CA 91340.

 

Some events hosted on a City-owned indoor or outdoor facility may require a Special Event Permit depending on its impact to the surrounding community. Recreation Staff may require the approval of the Special Event Permit before the final payment.
